Our Lottery System Software now contains two features which help to log Member payments. They are 1. Auto Updating of Bank Payments from Standing Orders and Direct Debits. 2. Scanning Updates from Cash Collection Round Lists. Auto Updating of Bank Payments If you can download bank statements in digital form from your Bank then you will be able to use this facility. There are certain procedures that you must put in place for the system to work efficiently. Firstly the Bank download file must be in ASCII format and the format must be of a known type. You can then set up within our system Bank configuration data which allows the system to read the Bank file. Secondly when you set up Standing Orders and Direct Debits you must direct the Bank to use the Membership Reference Number in the payment details. Thirdly and finally you must decide on a naming convention for the Bank files so that they can be archived in a chronological order for audit purposes. Once the above is in place you can use the system to read a Bank file and automatically update the Members accounts. The system carries out a number of checks like does the Membership Number and Members Name make a valid combination. Also is the Membership Number valid and so on. As each payment is processed a log file is generated which you can interrogate after the import to see what problem records have been found. You can also set up an error Membership Number look up file where the Bank data is repeatedly wrong ie. Valid Membership Number but wrong Member Name etc. This module is included free with the basic Lottery System Software. Auto Updating from Cash Collection Round Lists The method employed in our Lottery System is based on Optical Mark Recognition (OMR). You can print from our system special Collection Sheets which have tick fields for the amounts. These fields are ticked by your Collector to show a payment or left blank for a no payment. When you receive the Round Lists back from your Collector you scan these pages using special OMR software which identifies the Member and the payment made. This information is fed directly into our Lottery system and can be reconciled in the usual manner. A log file is produced to indicate success and any errors encountered. Pricing
The above price is only applicable to UK customers and is subject to VAT. The cost of the module includes the Licence fee, Maintenance and Support for a period of one year. Thereafter additional an cost of aproximately 20% of that quoted will be charged per annum.
